University Scheduling and Conference Services EMS and Event Guidelines

Compliance with University Policies 

All event organizers and participants are required to follow all applicable university policies, including those pertaining to safety, security, and conduct.

Facility Use 

The reserved space must be used strictly for the purpose indicated on the reservation name. Any changes to the intended use must be approved in advance. 

Alternative Food Options

Potlucks: Recognized Student Organizations and University departments may request permission to host potluck socials on the campus of MNSU.　Potluck Socials are defined as closed events where dishes are prepared by group members for consumption by group members ONLY.  More information

Recognized Student Organizations may utilize outside food vendors under the following conditions:  

1. Food must be from a licensed restaurant.  
2. Total cost does not exceed $75.  
3. The event is limited to organization members only. Recruitment events or meetings open to the broader campus community do not qualify.  

 Event Accuracy 

Reserving departments and organizations affirm that all information provided to University Scheduling and Conference Services is true, complete, and accurate. Any attempt to reserve space under false pretenses, including misrepresentation of the intended activity, organizational affiliation, or purpose—whether in the online reservation form or supplemental checklist—will result in immediate cancellation of the reservation and may impact future booking privileges. 

Prohibited Activities 

Events that include disruptive, hazardous, or illegal activities are strictly prohibited.  

Charges  

Reserving organizations and departments are responsible for all applicable services, facility, and equipment charges. Charges may include, but are not limited to, technical services, equipment use, facility rental, custodial services, traffic control, food service, physical plant services, and other services rendered.  

Reservation Modifications

University Scheduling and Conference Services reserves the right to modify reservations to ensure efficient use of campus resources.
