Camp and Conference Contracting Process

After you have completed initial planning stages for your camp or conference the contract process will begin. 

Facility Use Agreement Instructions (Coming Soon)

Follow the steps below to share your information, sign the agreement digitally, and receive a completed Facility Use Agreement for your camp or conference. 

Step 1: Collect the necessary forms and information.

Items needed for a Facility Use Agreement:* 

  • Vendor Number with State of Minnesota Vendor System
  • Current W-9
  • Name and Email of FUA signatory
  • Copy of COI insurance with MN State named additionally insured 

* All documentation must have the same business/entity name, address, and phone number. This includes the vendor number, insurance certificate, and W-9. 

Step 2: Submit Information

  • Email all information to University Scheduling

Step 3: Signatures

The FUA signatory will receive an email from Adobe Docusign for a digital signature. Note, the camp will sign the contract before any MSU representative 

Step 4: Facilty Use Agreement

Receive a fully executed digital Facility Use Agreement for your records. 

All entities that conduct business with the State of Minnesota must register as a vendor to receive payment or services. Please check to make sure your organization is not currently register.

Register as Supplier  

Suppliers can self-register with the State by submitting a request on the Supplier Portal. 

Steps to Complete a New Supplier Request:  

Step 1: Open the Supplier Portal and enter Entity and Tax Identification Number (TIN) Type.  

Step 2: Enter Identifying Information.  

Step 3: Enter Address Information.  

Step 4: Enter Contacts.  

Step 5: Enter Payment Information.  

Step 6: Enter Category Codes.  

Step 7: Submit for Approval. 

Submit a Certificate of Liability Insurance with the below requirements. 

Email documents to the Assistant Director of University Scheduling and Conference Services.

Sample Insurance Certificate  

  • $2,000,000.00 per occurrence (Sample COI for 2 million pdf- coming soon) 
  • 1,000,000.00 per occurrence + $1,000,000 Excess Umbrella (Sample COI for 1 million per occurrence pdf- coming soon)

Minimum Insurance Amounts

  • $2,000,000.00 per occurrence or $1,000,000.00 per occurrence + $1,000,000 Excess Umbrella  
  • $2,000,000.00 annual aggregate 

In addition, the following coverages must be included: 

  • Products and Completed Operations Liability 
  • Blanket Contractual Liability 

Name the following as Additional Insured: 

  • Board of Trustees of the Minnesota State Colleges and Universities Minnesota State University, Mankato/System Office 

If you do not carry insurance, you can purchase a policy through the Tenant-User Liability Insurance Policy or through your home owners insurance policy.
