Bookings

Overview

Any information stored in Bookings will have to be recreated. There are no export/import options for Bookings, and no data will migrate.

Delve

Overview

There are no export/import options for Delve, and no data will migrate.

Dynamics 365

Overview

There are no export/import options for Dynamics 365, and no data will migrate.

Excel

Overview

Excel installed on your desktop/laptop will be available throughout the transition. Excel files stored on OneDrive (and SharePoint) will be moved automatically during the transition. The online version of Excel that you can access through a browser will not be available during the transition.

Flow

Overview

Flow workflows will not be migrated automatically, however, you can export workflows you’ve created and import them into your new Office365 account.

Before Transition

Export your Flow workflows.

During Transition

You will be unable to use your Flow workflows.

After Transition

Import your Flow workflows.

Forms

Overview

Prior to the transition on December 19, you will be able to share your form as a template with your new Office365 account, but the responses will not be carried over. You can save your responses by opening them in an Excel file and then saving them on your computer or on your OneDrive before the migration.

Before Transition

  1. Duplicate forms you’ve created into your MinnState Office 365 account.
  2. Save any responses associated with the original forms to an Excel file, then upload them to OneDrive (or store them on your computer until after the transition).

After Transition

If you have an embedded Forms project or linked Forms project in any of your courses in D2L (or elsewhere) you will need to relink or re-embed those projects with the new duplicated Forms project (associated with your StarID@Minnstate.edu email for employees) to ensure those Forms projects continue to be visible to students after the Office365 migration.

OneDrive (In the Cloud)

Overview

Any web links you’ve created for shared files will change. Files stored on OneDrive will be moved automatically during the transition.

Before Transition

Stop making changes to your OneDrive files beginning December 15. We will begin copying OneDrive files in the could to the new system at that time and any changes you make to files in the cloud may not be replicated to the new system once that process begins.

During Transition

If you want to edit a file after December 15 during the transition, download the file to your laptop or desktop and edit that local copy.

After Transition

Upload any files you changed locally to your new Office 365 account.

OneDrive for Business

Overview

OneDrive for Business is now packaged with the standard OneDrive.exe app. The OneDrive for Business functionality is enabled once you sign into it with your new username.

OneNote

Overview

Local OneNote documents will not be affected. OneNote documents in the cloud (i.e., on OneDrive and SharePoint) will be moved automatically. OneNote documents solely associated with Microsoft Teams will be migrated, though the "Created Date" will change to the transition date.

Outlook (Calendar)

Overview

Calendar events (meetings, appointments, etc.) from your individual calendar will be transitioned to your new Office 365 account automatically. If you experience problems saving changes to recurring meetings, delete the entire series and recreate the meeting within the new account. Outlook calendars created through Microsoft Teams can be exported, but will need to be created in the new Microsoft Team account.

Before Transition

  1. Export your calendar if you feel you want to back up your events.
  2. Export your Teams calendar(s) if you are using the Microsoft Teams app.

During Transition

Do not make any new meetings or edits to existing meetings. Your mailbox will be unable to receive new invitations during the migration. Any meeting invitations sent to your email address during this time will be returned to sender.

After Transition

  1. Check any user permissions to your calendar you may have granted to make sure they are still in place.
  2. Check your recurring meetings.
  3. Search for meeting rooms with the designation MNSU-xxx (Ex: MNSU-ML3012 for Memorial Library, Room 3012)
  4. Recreate your team calendar if you are using the Microsoft Teams app.

Outlook (Email)

Overview

Your email address (first.last@mnsu.edu) will not change.

Beginning December 19 at 10:00 p.m. for about 72 hours, you will not be able to send or receive email. During the transition process, this is the period of time that your email address does not exist. People who send you an email during the transition time will receive back from their email provider the non-deliverable address that was sent to you. In addition, because the mailbox does not exist, out-of-office responses will not be sent out.

If you want to include an out-of-office Calendar events (meetings, appointments, etc.) from your individual calendar will be transitioned to your new Office 365 account automatically. If you experience problems saving changes to recurring meetings, delete the entire series and recreate the meeting within the new account. Outlook calendars created through Microsoft Teams can be exported, but will need to be created in the new Microsoft Team account.

Before Transition

  1. Save distribution lists to re-import these after the migration.
  2. Backup your Outlook Rules, Signatures, Quick Parts, Contact Lists and Block Sender Lists.

During Transition

  1. Your mailbox will be unable to receive new email during the migration. Any email messages sent to your email address during this time will be returned to sender.
  2. If accessing mail via an app on a mobile device, you may be prompted to enter your username and password. However, your credentials will not be accepted. Please wait to access your email until after the transition is complete (December 23).

After Transition

Clear Out Your Keychain (Mac Users Only):

  1. Click on Outlook > Preferences > Accounts
  2. Select the MNSU account
  3. Click the minus sign on the bottom of the box
  4. Delete

This will clear out your keychain.

Enter Your New Username (Mac and PC Users):

  1. Open Outlook.
  2. When prompted for an email address, enter your new username instead:
    • Faculty and Staff: StarID@minnstate.edu
    • Students, Alumni, and Emeriti: StarID@go.minnstate.edu
    Note: If you are both an employee and a student, set up your primary email account first. You can then add the other email account later. 
  3. Outlook will begin searching for your mailbox. This can take 2-5 minutes.
  4. Enter your new username and your StarID password. Select the "Remember my credentials" check box to avoid having to log in every time you start Outlook.
  5. Outlook will open and begin downloading your mail and folders. This process can take a long time if you have a significant amount of email. We suggest letting Outlook finish its initial download of mail before exiting. You can minimize the window.
  6. Restore any saved Distribution Lists, Outlook Rules, Signatures, Quick Parts, Contact Lists, and Block Sender Lists.
  7. Clear your Outlook Auto-Complete list to avoid sending emails to old Office 365 account addresses.

Fix Outlook Email on Android After the December Transition of Office365

People

Overview

In Outlook on the web, you can use the People page to view, find, create, edit, and delete contacts. Your contacts will transition automatically to your new account, however, you will need to recreate personal groups and distribution lists in your new account.

Planner

Overview

There are no export/import options for Planner, and no data will migrate.

PowerApps

Overview

PowerApps will not be migrated automatically, however, you can export PowerApps you’ve created and import them into the new Office365. Information on migrating a PowerApp can be found here:

During Transition

You will be unable to use your PowerApps.

After Transition

Import your PowerApps package.

Power BI

Overview

Please contact the IT Solutions Center for assistance in moving your Power BI files prior to the transition. Power BI is available

PowerPoint

Overview

PowerPoint installed on your desktop/laptop will be available throughout the transition. PowerPoint files stored on OneDrive (and SharePoint) will be moved automatically during the transition. The online version of PowerPoint that you can access through a browser will not be available during the transition.

SharePoint

Overview

Any web links you’ve created for shared files will change. Files stored in SharePoint will be moved automatically during the transition.

Before Transition

Stop making changes to your SharePoint files beginning December 15. We will begin copying SharePoint files in the cloud to your new account at that time and any changes you make to files in the cloud may not be replicated to your new account once that process begins.

During Transition

If you want to edit a file after December 15 during the transition, download the file to your laptop or desktop and edit that local copy.

Upload any files you changed locally through your new Office 365 account. The new location of the Sharepoint files is https://mnscu.sharepoint.com/sites/MNSU.

Skype for Business

Overview

Contacts will not automatically transition to your new account. Links for Skype meetings must be recreated in your new account.

Before Transition

As a reference for use in adding contacts to Skype through your new account, you can export your (Outlook) contacts.

Skype Broadcast

Overview

No information from your existing account will transition to your new account. Videos and reports can be downloaded from your existing account, and any meetings you’ve created will need to be recreated through your new account.

StaffHub

Overview

There are no export/import options for StaffHub, and no data will migrate.

Stream

Overview

No data from Stream will automatically transition to your new account. You can manually download any Stream videos you have and upload them into your new Office 365 account at https://docs.microsoft.com/en-us/stream/portal-download-video.

Sway

Overview

No data from Sway will automatically transition to your new account. You can, however, share your Sway presentations, open Sway within your new Office 365 account, and then duplicate the shared copy to your new account.

Before Transition

Share your Sway presentation and log in to your new Office 365 account with your new username. (New accounts are created and accessible now, however, the transition of data from your old account to your new account will not happen until December 19.) Duplicate the shared copy to your new account.

Tasks

Overview

Tasks data is moved over automatically as a part of your Outlook mailbox transition.

(Microsoft) Teams - formerly Groups

Overview

Files stored within your Team OneDrive/Sharepoint (found under the “Files” tab) and your OneNote notebooks (under the Staff Notes and Notes tabs ) will be moved over automatically. Custom tabs you may have created for the Team site will need to be recreated in the new Team. All Teams for Minnesota State Mankato will begin with “MNSU-“ after the transition. Team members and permissions/role information will transition over with the Team. Web links to shared documents will need to be created from your new Office 365 account. Channels you have set up will be moved over automatically in the transition. Conversations in your Teams and channels will NOT be moved over automatically, however, you can download these and store them locally.

To-Do

Overview

To-Do data is moved over automatically as a part of your Outlook mailbox transition.

Video

Overview

Content from Video will not be moved over automatically during the transition. However, you can download files from Video locally and then upload them to your new account.

Word

Overview

Word installed on your desktop/laptop will be available throughout the transition. Word files stored on OneDrive (and SharePoint) will be moved automatically during the transition. The online version of Word that you can access through a browser will not be available during the transition.

Yammer

Overview

Yammer will no longer be available after the transition.
